PRIVACY POLICY

JPGraphy LLC ("JPGraphy," "we," "us") is a photography studio based in West Dundee, Illinois. This policy explains what personal information we collect when you visit jpgraphy.com, contact us, or book a session, and how we use it. We keep it simple: we collect only what we need to plan your session, deliver your photos, and run our business. We never sell your information.


1. Information we collect

1.1 Information you give us.

  • Your name, email, phone number, and how you prefer to be contacted (email, text, WhatsApp, Messenger, Instagram)
  • Session details: event type, date, time, location, number of people, and any notes, mood boards, or inspiration photos you share
  • Billing details. Card and bank payments are handled by our payment processors, and we never see or store your full card number
  • Anything you choose to tell us in messages, forms, or calls.

1.2 Photos and information about the people in them. We take photos of you and of anyone in your session, which may include family members, guests, and children.

1.3 Information collected automatically. When you visit our website, our website platform and analytics tools may collect your IP address, browser and device type, the pages you view, and how you found us. They do this through cookies and similar technology.

1.4 Information from others. If you find us through Thumbtack, The Knot, Meta (Facebook or Instagram), a review site, or a friend who recommends us, we may receive your name, contact details, and event details from them.

1.5 Phone calls. With notice to everyone on the call, we may record phone consultations so we can capture your details accurately. Tell us at the start of the call if you'd rather not be recorded.


2. How we use your information

  • To answer your inquiry, send quotes, and prepare your contract
  • To schedule, plan, and photograph your session
  • To edit and deliver your photos through a private online gallery
  • To process payments, and later to ship prints or albums you order
  • To send reminders and updates about your booking
  • To send promotional emails, only if you sign up for them on our website or when you receive your gallery. You can unsubscribe at any time
  • To keep business, tax, and legal records
  • To improve our website and services


3. Your photos and how we use them

  • Portfolio use. As described in your Photoshoot Agreement, we may share selected images from your session on our website, social media, and marketing materials. We do this only to show our work.
  • Opting out. If you'd rather your photos stay private, you can buy our Privacy Add-On before your session. Once you do, we won't use your images publicly.
  • Take-down requests. If an image of you is already posted and you'd like it taken down, email us. We'll consider every request. Because your agreement gives us the right to use your images, removal is at our discretion. To make sure your photos are never posted, choose the Privacy Add-On before your session.
  • What we don't do. We don't sell your photos, license them to stock photo sites, or use them in AI training datasets.
  • No face recognition. We don't use face-recognition technology to sort, tag, or search your photos.
  • Children. We photograph minors only with a parent's or guardian's permission. We don't tag minors by name or share their location on social media.


4. Who we share information with

We share information only with the people and services that help us run JPGraphy:

  • Website, online galleries, and print store: Pixieset.
  • Payment processing: Stripe and Zelle through our bank.
  • Email, calendar, and file storage: Google Workspace.
  • Messaging and phone: WhatsApp, Facebook Messenger, Instagram, and Google Voice.
  • Print labs and shipping carriers, when you order prints or albums.
  • Second shooters, assistants, or editors who work on your session. We ask them to keep your information confidential.
  • Booking platforms such as Thumbtack and The Knot, when you contact us through them.

We may also share information if the law requires it, to protect our rights or someone's safety, or if JPGraphy is ever sold or transferred. We don't sell or rent your personal information.


5. Cookies and analytics

Our website and client galleries are hosted on Pixieset. Pixieset uses cookies so the site and your gallery work properly, and so we can see how visitors use the site. You can block or delete cookies in your browser settings, but some parts of the site may not work as well.


6. How long we keep information

6.1 Inquiries that don't turn into a booking. As long as it's useful for our business. You can ask us to delete it at any time.

6.2 Online gallery. Open for 14 days after delivery.

6.3 RAW files. Deleted within 30 days after gallery delivery.

6.4 Edited final images. We may keep backup copies for as long as needed for business purposes, but we don't guarantee them. Please download your gallery while it's open.

6.5 Images used in our portfolio. As long as they're part of our portfolio.

6.6 Contracts, invoices, and payment records. 7 years, for tax and legal purposes.


7. How we protect your information

We use password-protected accounts, two-factor authentication, private galleries, and secure backups to protect your information. No system is perfectly secure. If a breach affecting your personal information ever happens, we'll notify you as Illinois law requires.


8. Your choices

  • Unsubscribe from promotional emails at any time, using the link in any email
  • Ask us what information we have about you, or ask us to correct or delete it, except records we have to keep by law
  • Ask us to take down a posted image (see section 3)
  • Choose the Privacy Add-On before your session

9. Children's privacy online

Our website is for adults booking photography services. We don't knowingly collect information online from children under 13. If you think a child has sent us information, contact us, and we'll delete it.


10. Changes to this policy

We may update this policy from time to time. The date at the top shows when it was last changed.
